What is in it (9)

Bring your own: longer HDMI runs or an SDI conversion if a camera sits past 15 m from the table (the XA60 has a mini HDMI port), a wired network drop with upstream bandwidth at the switcher, a feed from the venue's PA mixer into the switcher's second 3.5 mm input; speakers and room DSP are a Pro Desk job, a USB drive for the recording, a table and power at the operator position

What is in it (12)

Bring your own: further manned cameras, if the job needs them, longer HDMI or SDI runs sized to the venue: cable lengths past 15 m are a site decision (the XA60 has a mini HDMI port), the venue's PA, mixer and any room DSP; installs and room audio go through the Pro Desk, a feed from the venue mixer to the switcher's second 3.5 mm input, network with upstream bandwidth, and a UPS at the control table, a USB drive fast enough for ISO recording, a tablet for the OBSBOT Start app that sets framing and presets, a 3-pin universal socket or travel plug adapter for the USB-C charger

What is in it (10)

Bring your own: operators for the two manned cameras, and any further manned positions, the BNC cable pull and any venue rigging: run lengths and routes are quoted per site, a PoE+ switch, tripods or truss for the PTZs, power distribution and a UPS at the control table, the venue PA, mixer and room DSP (room audio and installs go through the Pro Desk), and a mix from the venue mixer to the switcher's XLR or RCA input, network with committed upstream bandwidth, and a bonded or backup connection for a paid stream, a USB-C drive for the ISO recording, a tablet for the OBSBOT Start app, flight cases and the crew

Build it yourself: what you need

  1. A switcher sized to the camera count.

ATEM Mini Pro ISO for up to four HDMI cameras with hardware streaming; ATEM Mini Extreme and Extreme ISO G2 when there are more than four sources and a second screen. All-in-one alternatives — YoloBox Pro, Ultra and Extreme, Osee GoStream Deck and Duet, Feelworld L3 and L4 — put switcher, multiview, encoder and battery in one case, which is the right answer for a two-person crew. ISO models record every input separately, which is how a convocation still gets an edit when the live cut goes wrong.

  2. PTZ cameras for the angles nobody can stand next to.

The kits use the OBSBOT Tail 2: AI tracking, HDMI and 3G-SDI, and a 5x optical lens that works within about 15 m. For a longer zoom, on a quote: Atomos A-Eye HD-20X, 4K-12X and 4K-20X with the A-Eye Control panel; Datavideo PTC-140 and PTC-140NDI; Feelworld 4K12X and NDI10X; BirdDog Maki Ultra and Maki Live; Hollyland Astra P1. PoE+ means one cable does power and control to a truss or a wall bracket at the back of a hall, which is the only practical way to cover a stage wide shot without an operator in the aisle.

  3. An encoder when the switcher is not the thing going to the internet.

Blackmagic Streaming Encoder HD for a hardware push to YouTube or Facebook; Teradek Vidiu Go when the connection is cellular and needs bonding; AJA HELO Plus and Epiphan Pearl Nano and Pearl-2 for a stream and a local recording at the same time with redundancy. A separate encoder is also how you keep streaming while someone reboots the laptop.

  4. Wireless microphones for the stage and the floor.

RØDE clip-on and handheld mics on 2.4 GHz in the starter and better kits, for the stream rather than the venue speakers, and Shure SLXD24D+ rack handhelds at pro, priced on the quote. Also on a quote: Shure BLX24R/SM58 and BLX24/SM58 handhelds for panels and Q&A, BLX14/CVL and GLXD14R+ lavaliers for a keynote speaker who walks, and GLXD24R+/SM58. Keep the whole show on one frequency family, and coordinate with the venue's own UHF mics before doors open.

  5. Intercom, or the show runs on shouting.

The starter and better kits assume camera operators in sight of the table and offer it as an add-on; the pro kit includes it. Hollyland Solidcom C1 for two to six headsets with no base station, Solidcom C1 Pro with the hub for a hall where the camera positions are far apart, BirdDog Comms PRO on an existing network. Camera two cannot hear the director across a ballroom, and the moment the schedule slips, intercom is the thing that saves the cut.

  6. Monitors the operator can actually see.

The kits use Lilliput A11 and PVM220S. Seetec ATEM156 sits next to an ATEM Mini as a four-input multiview; Blackmagic MultiView 4 HD, Osee T7 and Datavideo's TLM range cover programme and preview. In a bright hotel ballroom, brightness matters more than resolution — a dim monitor is why a shot goes out soft.

  7. Converters and distribution to make the hall reach.

Blackmagic Micro Converters HDMI to SDI and back at each camera, AJA C10DA and HD5DA distribution amplifiers when one feed has to reach the screen, the recorder and the stream. Carry more BNC than you think and label both ends.

Questions we get asked

What do I plug into if the venue only gives me hotel Wi-Fi?

Nothing you can trust. Ask for a wired line and a static IP in writing, and carry a bonded or cellular fallback — a YoloBox Ultra or Extreme with SIMs, or a Teradek encoder on a modem. Test the upload from the actual hall, not the lobby, the day before.

Switcher or an all-in-one box?

A switcher like the ATEM Mini Extreme plus a laptop gives you the most control and the most things to go wrong. An all-in-one YoloBox Ultra or Osee GoStream Duet is switcher, monitor, encoder and battery in one case — which is what you want when the crew is two people and the load-in is 40 minutes.

How do I get sound from the event's own mixer?

Take a feed from the house PA desk, not a mic in the room. That is a balanced XLR line-level output into the switcher's audio input, usually through a DI or a Blackmagic ATEM Microphone Converter. Agree it with the venue's sound engineer at load-in and check it before the first speaker.

Which wireless band is legal and practical in India?

2.4 GHz is licence-exempt, which is the simple answer for a travelling kit: the RØDE mics in these kits and GLX-D+ both use it, but it shares the air with Wi-Fi, so test at load-in. BLX and SLX-D are UHF and band-specific: have the band checked for your venue and keep every unit on one family so they coordinate.

HDMI or SDI for a hall?

HDMI is fine to about 15 m. A ballroom or an auditorium is longer than that, so convert to SDI on BNC at the camera and back at the switcher — Blackmagic Micro Converters at each end, and a distribution amplifier when one feed has to reach the screen, the record deck and the stream.

Do you supply rigging or operators?

We supply the equipment only, not rigging or crew. The starter and better kits show a final price. The pro kit goes on a quote because its intercom and rack wireless prices are confirmed there. For a large hall, send the city, the hall size and the camera count to Pro Desk for one quotation covering cables, converters and audio.
